The staff records Staffnet page has been updated to include new HR guidance for managing staff records, a one page quick reference guide to retention periods and a suggested file plan for saving electronic records.
The new NHS Tayside Guide for Secure Handling of Employee Information sets out what managers in Tayside need to do to manage HR records correctly. It is based on current legal requirements and professional best practice.
Appendix 4 of the guide contains the detailed retention schedules. It sets out how long individual records that make up the whole HR record should be retained, either due to their ongoing administrative value or as a result of statutory requirement. This information is also available as a standalone quick guide along with a suggested file plan for managing HR records electronically.
Managers are advised to familiarise themselves in particular with the retention schedules and to review what they hold in files they keep, and to destroy anything that has passed its retention period. All the above information can be found on the HR Records Management page on Staffnet.
